Terms of Service

These Terms of Service (“Terms”) govern your use of DocFast, the document-formatting service operated by DocFast, a private limited company (besloten vennootschap) incorporated under the laws of the Netherlands and registered with the Netherlands Chamber of Commerce (KvK) under number 62029339, with its registered address at Wijnberg 22, 2716 PE Zoetermeer, the Netherlands (“DocFast”, “we”, “us”, “our”).

By creating an account, subscribing to a plan, or otherwise using DocFast, you agree to these Terms. If you do not agree, do not use the service.

1. The Service

DocFast is a software-as-a-service tool that takes plain text (typically produced by an AI assistant or written by you) together with a brand profile, and returns a formatted Microsoft Word (.docx) document and, optionally, a PDF export. The exact features available depend on your subscription plan and are described at docfast.ai.

We may change, add, or remove features at any time. We will give reasonable notice for changes that materially reduce the functionality of a paid plan.

2. Eligibility and Accounts

You must be at least 18 years old and legally able to enter into a contract to use DocFast. If you use DocFast on behalf of an organisation, you confirm that you are authorised to bind that organisation to these Terms, and “you” in these Terms refers to that organisation.

You are responsible for keeping your account credentials confidential and for all activity that occurs under your account. Notify us at support@docfast.ai as soon as you suspect unauthorised use.

3. Plans, Pricing and Payment

DocFast paid access is sold either as a recurring subscription or as a one-time Lifetime purchase that grants ongoing access to paid features. The current options, prices and what is included are published at docfast.ai/#pricing. Prices are in euros (EUR) and exclude VAT unless stated otherwise. VAT is added at the rate applicable to your billing address where required by law.

We may change prices for future billing periods. We will give you at least 7 days’ notice by e-mail before any price change takes effect for your account. If you do not accept the new price, you can cancel before it applies and your subscription will end at the start of the new period.

4. Cancellation, Right of Withdrawal, and Refunds

Cancellation. You can cancel your subscription at any time from your account. Cancellation takes effect at the end of the current billing period; you keep access to paid features until then. We do not pro-rate refunds for partial months.

30-day money-back guarantee. If you are not satisfied with DocFast, contact us at support@docfast.ai within 30 days of your first paid charge and we will refund that charge in full. No forms, no questions. This guarantee applies to your first paid charge only (your first subscription or a Lifetime purchase), not to subscription renewals.

Statutory right of withdrawal (consumers in the EU). If you are a consumer based in the EU, you have a 14-day right of withdrawal under the Consumer Rights Directive. By starting to use DocFast within that period you expressly agree to immediate performance and acknowledge that you lose the right of withdrawal once you have generated or downloaded a document. The 30-day money-back guarantee above goes beyond the statutory minimum and remains available to you.

You agree not to use DocFast to:

6. Your Content

You retain ownership of the text, brand assets, and documents you upload, paste, or generate using DocFast (“Your Content”). You grant us a limited, non-exclusive licence to host, process and transmit Your Content solely to provide the service to you. We do not use Your Content to train any machine-learning models, and we do not share it with third parties except the sub-processors listed in our Privacy Policy.

You are responsible for ensuring that you have the rights to upload Your Content and that doing so does not breach any third-party rights or applicable law.

7. AI Output

DocFast uses third-party large language models (currently OpenAI and Anthropic) to assist with text clean-up. AI output can be inaccurate, incomplete, or unsuitable for a given purpose. You are responsible for reviewing every document before you send it. We make no warranty that AI-generated content is accurate, professional, compliant with any regulation, or fit for any particular use.

8. Intellectual Property

DocFast, including its software, design, branding, templates and documentation, is owned by us or our licensors and is protected by copyright and other laws. Nothing in these Terms transfers any of those rights to you. You may use DocFast only as permitted by these Terms.

9. Availability

We aim to keep DocFast available, but we do not guarantee any specific uptime. The service may be temporarily unavailable for maintenance, updates, or due to events outside our control (including outages at hosting or AI providers). We will try to give advance notice for planned maintenance where practical.

10. Term and Termination

These Terms apply from the moment you first use DocFast and continue until your subscription is cancelled or your account is closed. We may suspend or terminate your access immediately if you materially breach these Terms, if required by law, or if continuing to provide the service would expose us to significant legal or security risk. On termination, your access to paid features ends and Your Content is deleted in line with the retention rules in our Privacy Policy.

11. Disclaimers

DocFast is provided “as is” and “as available”. To the maximum extent permitted by law, we disclaim all warranties of any kind, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, accuracy, and non-infringement. We do not warrant that DocFast will be uninterrupted, error-free, or that AI output will meet any specific standard.

12. Limitation of Liability

To the maximum extent permitted by law, our total aggregate liability to you for any claim arising out of or relating to DocFast or these Terms is limited to the amount you paid us in the 12 months preceding the event giving rise to the claim, or €100, whichever is greater.

We are not liable for indirect, incidental, consequential, special, or punitive damages, or for lost profits, lost revenue, lost data, or business interruption, even if we have been advised of the possibility of such damages.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under Dutch law, such as liability for intent or gross negligence, or, where you are a consumer, your mandatory consumer-law rights.

13. Indemnification

You agree to indemnify and hold us harmless from any claim, loss, or expense (including reasonable legal fees) arising out of your breach of these Terms, your violation of any law, or your infringement of any third-party right through your use of DocFast or Your Content.

14. Changes to These Terms

We may update these Terms from time to time. If a change is material, we will notify you by e-mail or through the service at least 7 days before it takes effect. Continued use of DocFast after the change takes effect means you accept the updated Terms. If you do not accept them, you can cancel before they take effect.

15. Governing Law and Jurisdiction

These Terms are governed by the law of the Netherlands, excluding its conflict-of-laws rules. The UN Convention on Contracts for the International Sale of Goods does not apply.

Any dispute arising out of or in connection with these Terms will be submitted to the exclusive jurisdiction of the competent court in The Hague, the Netherlands, unless mandatory law gives you, as a consumer, the right to bring proceedings in the courts of your country of residence.
